Inviting Team Members and Understanding Roles
Invite colleagues and clients into a Brand Space, choose the right role for each person, and control who can approve posts.
Every Brand Space can have its own team. Each person you invite gets a role, which decides what they can see and do in that Brand Space. One person can belong to several Brand Spaces, with a different role in each.
ℹ️ Team members aren't available on the Free plan. How many members you can add depends on your plan; you can see it on Settings > Subscription.
Roles at a glance
| Role | What they can do |
|---|---|
| Owner | Everything, including billing and deleting the Brand Space. There's one owner per Brand Space: the person who created it. |
| Co-Owner | Exactly the same access as the owner, except they can't delete the Brand Space. Be careful who you give this role to. |
| Editor | Create, edit, plan and schedule posts, and create and edit labels, hashtags and templates. Editors can't do account management, so they can't change Brand Space details or add or remove social accounts. |
| Client | Connect or remove social accounts, and view everything else in the Brand Space. Clients can't edit, plan or schedule posts. |
| Viewer | View everything in the Brand Space. Viewers can't edit, plan, schedule or change any settings. |
ℹ️ If your client only needs to connect their accounts or approve a few posts, they don't need to join your team at all. Send them a client connect link or a post approval link instead.
Inviting a team member
- Switch to the Brand Space you want to invite someone to.
- Go to Settings > Team.
- On the Members tab, under Invite a new member, enter their Email address.
- Pick a role from Invite as.
- Click Send Invite.
They'll get an email inviting them to join. When they accept:
- If they already have a CoPost account, the Brand Space is added to their account, and they'll find it in the Brand Space switcher in the left-hand menu.
- If they're new to CoPost, they're taken to sign up first, and the Brand Space is waiting for them once their account is ready.
Until they accept, they show in your member list as pending.
Managing team members
Each member on the Members tab has these controls:
- Can approve: lets this person approve posts when the Approval Workflow is on. See Requiring approval before posts go live below.
- Edit: change their role.
- Remove: take them out of this Brand Space. Their account isn't deleted, and they keep access to any other Brand Spaces they belong to.
Locked members
If your team has more members than your plan allows, for example after a downgrade, the extra members are shown as 🔒 Locked and can't use the Brand Space.
To give a locked member access again, either upgrade your plan, or remove someone else to free a seat and then click Unlock on the locked member.
Requiring approval before posts go live
If you want every post checked before it's published, turn on Approval Workflow in Settings > Brand Space.
With Approval Workflow on:
- Team members who can't approve see Schedule for Approval instead of Schedule Post in Composer. Their posts get the status Scheduled for Approval and won't publish until someone approves them.
- Team members who can approve (switch on Can approve for them in Settings > Team) review those posts. In Composer, the schedule button's menu has two extra options:
- Approve: the post becomes Scheduled and publishes at its scheduled time.
- Needs Attention: the post is sent back with the status Attention Needed so the writer can fix it.
You can also turn on the Approval Workflow widgets for the Dashboard in Settings > Brand Space, so approvers can see what's waiting for them.
Team settings: notifications and menu access
Open the Settings tab inside Settings > Team to fine-tune what each role gets.
Notifications
Choose which roles get each notification, in the app and by email:
| In-app | |
|---|---|
| A post is published | A post is published |
| A post fails to publish | A post fails to publish |
| Posts are added to the queue by an automation | Posts are added to the queue by an automation |
| A post is assigned to them |
Click Save Settings when you're done.
Features
Under Features, choose which roles can see each item in the left-hand menu. For example, you could hide Analytics from Clients. Owners always have full access.
Frequently asked questions
Can I change the owner of a Brand Space? No. The owner is always the person who created the Brand Space. Give someone the Co-Owner role if they need the same access as you.
My team member can't see a Brand Space they were invited to. Ask them to check their email for the invite, including spam, and click accept. Then ask them to log out and back in, and look in the Brand Space switcher in the left-hand menu.
Do team members need their own subscription? No. Team members work inside your Brand Space under your plan, including features like CoGen and AI video. A few features follow the member's own plan instead: AI image generation and API access need the member to be on a plan that includes them.
