Getting Client Approval on Posts with a Review Link

Send clients a secure Client Approval Link so they can preview posts, approve them or leave feedback, without a CoPost login.

A Client Approval Link lets a client review posts before they go live. They open the link, see each post as it will look, and either approve it or leave feedback. They don't need a CoPost account, and they don't see anything else in your Brand Space.

ℹ️ Client Approval Links are part of the Teams plan. On other plans, you'll be offered an upgrade when you try to create one.

You can send one post or a whole batch. There are three places to start from.

From the Content page

  1. Go to Create > Content.
  2. Open the Drafts, Scheduled, Scheduled Draft or Favorites tab.
  3. Tick the box next to each post you want the client to review.
  4. Click Send for approval.

From the Planner

  1. Go to Plan > Planner.
  2. Tick the posts you want reviewed.
  3. In the bar at the bottom of the screen, click the approval button (Send to a client for approval).

From Composer, when you schedule a post for approval

If the Approval Workflow is on for your Brand Space, choosing Schedule for Approval opens a dialog asking who to assign the post to. Switch on Create Approval Link there, and once the post is saved you'll go straight to creating a link for it.

In the Client approval link dialog:

  1. Optionally, enter a Client name, so you can tell your links apart later.
  2. Click Create link.
  3. Click Copy to send it yourself, or enter the Client's email and click Send link.

ℹ️ For security, this is the only time you can see the link. Copy it or email it before you close the dialog. If you lose it, create another one.

Links work for 7 days.

What your client sees

Your client sees a page called Review posts for [your Brand Space name], with one card per post. Each card shows:

  • The post as it will appear on each platform, including any platform-specific variants
  • Images and videos
  • When the post is planned to go out, or "Not scheduled yet"

Before their first decision, the client is asked for their name, so you know who approved what.

For each post, they can:

  • Approve it, or
  • Leave feedback by typing what needs changing and clicking Send feedback.

A progress line shows how many posts they've reviewed. They can change their answer at any time until the link expires.

What happens when your client responds

Client actionWhat happens to the post
ApproveThe post is marked as approved by the client. If it was Scheduled for Approval, it moves to Scheduled and publishes as planned. Drafts stay as drafts.
Leave feedbackThe feedback is added to the post's notes, with the client's name. If the post was scheduled, it moves to Attention Needed so it doesn't go out until someone has looked at it.

The person who created the link gets an email summarising the client's decisions. It's sent a couple of minutes after the client stops reviewing, so one visit usually means one email.

Fixing a post after feedback

  1. Open the post from Content or the Planner and read the client's note.
  2. Make your changes and schedule it again.
  3. Ask your client to reopen the same link. They always see the latest version of each post, so they can approve the updated one.

Open the Client approval link dialog again (for example, from Send for approval) to see your Active links, with who each one was emailed to and when it expires. Click the delete icon next to a link to switch it off straight away.

If you delete a post, it's removed from any approval links it was on.

Troubleshooting

My client says "This link has expired". The link is more than 7 days old or has been deleted. Create a new link for the posts that still need approval.

My client says "There are no posts on this link any more". All the posts on the link have been deleted. Create a new link with the current posts.

A post shows "Already published or closed". The post has already gone out, or it's no longer waiting for a decision, so the client can't change it from the link.
